Collector email for documents

Forward invoices and receipts to your collector address — AI extracts them and files them into the document inbox, just as if you'd uploaded them manually. A PRO plan feature.

What is the collector email for documents

The collector email for documents is a feature that means you no longer have to download documents from suppliers and upload them into Taxorio by hand. Just forward the email with the invoice (or set up automatic forwarding) to your own unique address in the form documents-xxxxx@taxorio.cz — AI extracts the document from the attachment or from the body of the email and files it into the document inbox, exactly as if you'd uploaded it yourself.

The feature is available on the PRO plan.

How it works

  1. A supplier sends you an invoice by email — as an attachment, or right in the body of the message.
  2. You forward the email to your collector address documents-xxxxx@taxorio.cz.
  3. AI goes through the attachments and the email body and picks out the actual documents — it ignores terms and conditions, promotional flyers or logos in a signature. If the invoice is written directly in the body of the email (with no attachment), Taxorio converts it to PDF.
  4. The document appears in your inbox under Expenses → Inbox with the details pre-filled — supplier, company ID/tax ID (IČO/DIČ), amounts, VAT, dates — ready for confirmation, exactly as after a manual upload.

Turning it on in Settings

  1. Go to Settings → Documents by email.
  2. Click the Enable button.
  3. Your unique collector address appears (it looks like documents-xxxxx@taxorio.cz).
  4. Copy it with the button next to the Your collector address field.

If you ever need to replace the address — say, you think it leaked to someone it shouldn't have — use the Change address link. Taxorio generates a new address and the old one stops working immediately.

⚠️ Warning: The feature is tied to the PRO plan. If your PRO subscription expires, the collector email for documents turns off — but the collector address stays intact, so once you renew PRO you just turn the feature back on.

Who can send you documents

In the Allowed senders section you decide which addresses Taxorio will process documents from. Only emails from approved senders are processed — everything else is ignored.

  • Your account registration email is always allowed and can't be removed.
  • You can add up to 10 more addresses — typically suppliers' emails when they invoice you directly, or your other mailbox, the one you forward documents from.

The Accept from anyone switch turns this protection off — Taxorio then processes an email from any address that knows your collector address. Weigh this carefully:

  • Risk — anyone who learns your collector address can drop documents into your inbox.
  • Fix — if that happens, generate a new address any time via Change address; the old one stops working immediately.

Tips to save yourself the forwarding

You don't have to forward an invoice by hand every time. The least work is when the document reaches your collector address on its own:

  • Give the collector address directly to the supplier — many online shops, hosting providers and other suppliers have a field in their customer account along the lines of "Email for sending PDF invoices". Enter your collector address there and the invoice will land in your document inbox by itself. This is especially handy for recurring expenses (hosting, software, phone, utilities).
  • Set up a rule in your own mailbox — a filter with a Forward action in Gmail, or a Redirect rule in Outlook. Invoices from a given supplier then flow into Taxorio without any action on your part.
  • Have your accountant or a colleague send documents in — just add their address among the allowed senders.
💡 Watch out with the first two tips: in both cases the sender is the supplier, not you — automatic forwarding usually keeps the original sender. For Taxorio to process the document, add the supplier's address to your allowed senders, or turn on Accept from anyone and never publish your collector address anywhere.

What Taxorio can pick out of an email

AI can process a document both from an attachment and straight from the email text:

  • Attachments — PDF, JPG, PNG, WEBP, HEIC and ISDOC formats.
  • Email body — if the invoice is written directly in the message text (no attachment), Taxorio exports it to PDF and processes it just like an uploaded document.

Out of several attachments in one email, AI only picks the actual documents — it doesn't file terms and conditions, flyers or logos from a signature.

Limits per email:

  • the AI processes at most 2 attachments from one email (any others are ignored),
  • max 3 MB per attachment — larger attachments are skipped.

To guard against a flooded inbox there's also a cap on the number of received emails — max 10 emails an hour and 20 emails per 24 hours per account. This limit is shared with automatic payment matching.

Where to find the document

A processed document shows up in Expenses → Inbox alongside your other pending documents. You can tell it arrived by email once you open it: the header of the right-hand panel has a line with an envelope icon and the text Received by email from … — the sender, the date it arrived, and the email's subject.

When the feature is enabled, you'll also find your collector address right in the inbox — the header carries a Inbox e-mail chip with the address and a button to copy it. The same address is also offered by the Add document dropdown, alongside the other ways to upload.

Confirming works the same as with manually uploaded documents — clicking a document in the list opens a panel on the right with a preview of the file and the extracted details (supplier, IČO/DIČ, amounts, VAT, dates). Check the details and click Confirm and next — the document becomes an expense and the inbox opens the next one right away. Ready documents can also be confirmed in bulk: select them with checkboxes, or use Confirm all ready in the header.

💡 Tip: If you send the same file by email a second time (say, by accident), Taxorio recognises the duplicate by the file's content and won't file the document again.

Email notifications

In Settings you choose when Taxorio should tell you about processing an email:

  • When a document fails to be filed (on by default) — we send you the reason, with the original email attached as an .eml file (open it in your mail client and you can forward it again once fixed).
  • When a document is filed (off by default) — a summary of the documents filed from each forwarded email.

When a document doesn't get filed

The most common reasons a document from an email doesn't show up in the inbox:

  • The feature is off — check the toggle in Settings → Documents by email.
  • The sender isn't allowed — the email didn't come from your registration email or from the list of allowed senders, and the Accept from anyone switch is off.
  • Your PRO subscription expired — the feature turns off automatically once PRO expires.
  • The email went to the old address — once you regenerate the address, the old one stops working immediately.
  • Taxorio didn't find a tax document in the email — the email only had a covering note, or an attachment in an unsupported format. In that case, upload the document manually from the attachment of the notification email.
  • Duplicate — the same file was already processed once, so it doesn't get filed a second time.

If you have the When a document fails to be filed notification turned on, you'll find the reason and the original email content right in the notification.

Collector email for documents vs. payment matching

Taxorio has two separate collector addresses for two different purposes — don't mix them up:

  • documents-xxxxx@taxorio.cz — for received documents (invoices, receipts). Covered by this article.
  • platby-xxxxx@taxorio.cz — for bank notifications, which Taxorio matches to issued invoices. See Automatic payment matching from email.

Both features work independently of each other and are turned on separately.

Security

Your collector address is private — share it only with senders you trust, or narrow down the circle of senders in the Allowed senders section. If you think it's been compromised, generate a new address with the Change address button — the old one stops working immediately.

All received data is processed securely and stored exclusively on EU servers in accordance with GDPR.
