The web invoice — sharing an invoice through a public link

How to share an invoice through a public link (a web invoice) — the client opens it without signing in, sees the live payment status, the QR payment, and can download the PDF.

What a web invoice is

A web invoice is a public online page carrying your invoice that a client opens in a browser with no sign-up and no login. It shows a clear preview of the invoice, the current payment status, a payment QR code, and a button to download the PDF (with an embedded ISDOC for accounting software). It's handy anywhere sending a link is simpler than a PDF attachment — say, over WhatsApp, SMS or a company chat.

The feature is available on both the FREE and PRO plans. On the FREE plan the web page carries a small "Issued through Taxorio — invoicing for the self-employed" footer, and the downloaded PDF carries the note "Issued by the Taxorio.cz system," same as elsewhere. Neither appears on PRO.

Where to find the link in the app

Open the invoice's detail and click the Share button (next to the PDF and Send buttons). A menu opens with a link to the web invoice, which you copy with one click.

How to share an invoice

  1. Open the detail of the invoice you want to send to the client.
  2. Click the Share button.
  3. Copy the generated link to the web invoice.
  4. Send the link to the client through whichever channel you like — WhatsApp, SMS, chat, or paste it into your own email.
  5. The client opens the link on their phone or computer and sees the invoice right away, with no need to sign in anywhere.

What the client sees on the page

On the web invoice, the client finds:

  • A preview of the invoice — the same details as on the PDF (items, amounts, the due date, your company details).
  • A live payment status — paid / balance due / overdue / cancelled. As soon as you mark the invoice as paid in Taxorio, the status on the page updates automatically — even on a link you sent out earlier.
  • A payment QR code — the client scans it with mobile banking, the same as the QR code on the PDF.
  • A Download PDF button — generates the same PDF as in the app, with an embedded ISDOC file for import into accounting software.
💡 Tip: A web invoice is ideal when a client doesn't want to, or can't, open a PDF attachment on their phone (tradespeople, small business owners, for example), or when you want them to be able to check for themselves whether the payment has landed on your side, without having to ask you.

How it relates to emailing an invoice

When you send an invoice to a client with the Send button straight from Taxorio, the email also includes a View invoice online button, which leads to the same web invoice (the Include a link to the web invoice option, on by default). The PDF attachment in the email stays unchanged — the web link is just an extra route to the invoice, not a replacement for the attachment.

Delivery and open tracking for the email (the ✉️ / 👁 icon next to the invoice) works independently of the web invoice — if the client opens the invoice only through the public link outside of email (say, you sent it over WhatsApp), you'll see it recorded as an opening of the invoice, exactly as if they'd clicked in the email.

Invalidating and getting a new link

The link to a web invoice doesn't expire on its own — it works until you invalidate it yourself. If you're worried the link reached the wrong person, or you want to stop sharing it, invalidate it from the Share menu. A new link is generated and the old one stops working entirely.

ℹ️ On a cancelled document the Share button disappears — you can no longer create a new link. A link sent out earlier deliberately keeps working: the client sees a Cancelled banner on it, i.e. the document's current status.
⚠️ Careful: once invalidated, the old link stops working immediately for everyone you sent it to before — if you shared the same link in several places, you'll need to send clients a new one.
